Submission procedures
The reports submitted to the e-journal will be edited in the same manner as those in the printed journal, although minor changes have been made in the submission procedures. Please read carefully the next paragraphs. Reports that are not submitted according to the following guidelines will be returned to the author.
Submitting Reports
Reports should be submitted in a special table form (Template for contributors to HA-ESI) in RTF format. The length of the text and the number of illustrations should be in accord with the findings and with the format of the journal. All the illustrations must be submitted in digital format (see below).
Submitting Illustrations
All illustrations should be submitted as separate digital files. Please choose the illustrations carefully by their quality and relevance to the description in the text. The captions to the illustrations and their file numbers should be listed in the acknowledged place in the template.
Photographs
- Digital photos - should be submitted in JPEG format, by e-mail.
- Digital photos in the IAA Menorah system – give the numbers of the photos in the indicated place in the template; the editor will order them from the archive.
- Printed photos – should be scanned by the author and submitted in JPEG format.
Please make sure that all photos of finds include a scale; if missing – state measurements in caption.
Pottery Figures
Pottery figures that are made up digitally should be submitted as JPEG files, including the serial number of the objects and a scale (or scales, if necessary).
Figures that are manually drawn – scan the draft and submit it as a JPEG file. The original figure will be prepared on request from the editor. Remember to include serial numbers and scale(s).
Plans and Maps
Plans and/or maps, which are drawn by the draftspersons of the IAA – please enter the file name as indicated on your printed version (bottom, left).
Unfinished plans and/or maps, which were made up by the draftspersons of the IAA – scan the draft you hold, including any corrections/additions you might have.
Digital plans that are prepared by the author should be submitted in JPEG format.
Remember to include an arrow pointing to the north and a scale, as well as numbers of all walls and loci mentioned in the text.
Scanning Instructions
Illustrations (photographs, plans, maps and plates) should be scanned by resolution of 200 dpi and enlarged 200%.
The scanned material should then be accessed via the Photoshop program. Select from the menu “Image”, then “Image Size”. Here you must reduce the resolution of the illustration to 72 dpi, and make sure that the width of the illustration does not exceed 640 pixels; if the width exceeds this figure, please enter 640 manually (the length will be adjusted automatically).
Next, select from the menu “File”, then “Save for web”. Make sure that the file setting is “JPEG high”. Adjust the quality option so that the weight of the file does not exceed 40K (do not reduce the quality below 15).
Naming the Files
The text file (template) and the figures are to be saved in separate files.
Text File
The file name of the text template should include the following elements: the surname of the author, underscore, permit/license no.*, indication of preliminary/final report**.
Example: weinberg_A3462hp[.rtf]
* The permit/license numbers should be preceded by their letter code (A, B, G, etc., as indicated in the permit/license). Reports of finds encountered during inspection work should be marked “pikuh” instead of the permit/license number.
** Insert one of the following codes: IAA excavations: preliminary report = hp; final report = hf Other excavations: preliminary report = hpe; final report = hfe
Figure Files
The file names of the figures should include the same elements as the file name of the text template, with the addition of an underscore, followed by the figure no. (as in the list of figures).
Example: weinberg_A3462hp_1[.jpg]
E-Mailing the Report
The text file (template) and the figure files should be submitted by e-mail as attachments.
The subject of the e-mail should be “hadashot-esi”. Proofs returned by the author should be indicated as “hadashot-esi, proof 1”.
General Guidelines
HA-ESI in its digital format preserves the main features of the printed journal, i.e., short, descriptive articles of preliminary results of large-scale excavations and surveys, or final results of limited excavations and surveys. Authors should make sure that the material submitted for publication in the journal is in accord with the scope of the excavation and of the HA-ESI format.
Language
HA-ESI is a bilingual Hebrew-English journal. Manuscripts should be presented in Hebrew and will be translated into English, following the editing and confirmation by the author. Manuscripts should be submitted in English, when the author’s primary language is other than Hebrew; they will be edited, confirmed by the author, and subsequently translated into Hebrew.
Manuscripts will be reviewed by the author twice: first, the edited version will be sent by e-mail; the second time, the final version of the digital report will be accessed by the author on-line in the development web site. Reports will be set on-line only after the digital version was confirmed by the author. No corrections will be allowed after publication.
Spelling
The primary language for publication in HA-ESI is American English (spelling, style and grammar; see the Chicago Manual of Style, 14th or 15th eds.).
Authors’ Names
Hebrew and English spellings of authors’ and other contributors’ names are requested.
Transliteration
Biblical place names should be spelled according to the English Bible, without diacritics. When reference is made to modern toponyms or non-biblical place names, an accurate transliteration of the name is required. Site names are transliterated according to the Registry of Monuments and Historical Sites, published in Reshumot–Yalqut Hapirsumim (1964 and supplements) or as printed on maps published by the Survey of Israel
Map References
Authors are responsible for submitting an exact map reference for their excavation site. This map reference will be indicated on a general map on the web site, and serve as a search button (see search options). Israel has lately changed its national grid. Therefore, all map references calculated according to the Old Israel Grid (OIG) should be also recalculated according to the New Israel Grid (NIG), i.e., add 50,000 to the longitude coordinate (calculation relies on a six-digit figure), and 500,000 to the altitude coordinate (subtract 500,000 when calculating figures below the OIG zero line).

Text Headings
HA-ESI allows a maximum subdivision of a two-level format: (1) Left justified, large and small caps., major words capitalized.
(2) Left justified, upper and lower case, italics, major words capitalized, full stop.
Pottery Descriptions
The finds published in final reports in HA-ESI do not necessitate lengthy descriptions. The pottery should therefore be briefly described, without accompanying tables.
Numbers and Dates
In general, cardinal and ordinal numbers from one to ten should be spelled out; for larger numbers, use the figures.
Use Roman numerals for ancient rulers (e.g., Amenemhet III).
Centuries should be written out.
All measurements should be given in the metric system (e.g., 3 km, 8 m).
Abbreviations
Do not abbreviate archaeological time periods when they stand alone, e.g,. Middle Bronze Age. When they are followed by a specific subdivision, however, they should be abbreviated, e.g., PPNB, MB IIA, except for the Iron Age, which is never abbreviated (e.g., Iron I).
Points of the compass are not abbreviated (northeast, not NE).
The standard designation in HA-ESI for historical and archaeological dates are BCE (Before Common Era) and CE (Common Era).
Abbreviations of measurers are not followed by periods (e.g., 5 cm, not 5 cm.)
References
HA-ESI format does not allow for references, except for references to older volumes (printed and digital) of the journal. When necessary, for implying a new approach or suggesting an alternate date, references can be added in accord with the academic requirements; no bibliographical list will accompany the report. References to other digital journals are most welcome (see the Chicago Manual of Style, 15th ed.).
